Don't Be That Guy.  Effective Trade Show Planning.Yes, the following story really did happen.  Names will be withheld to protect the innocent.

Don’t be ‘that guy.’

He had a trade show exhibit produced by us the year before.  He had a great trade show run for the year, and he was going to keep the same booth in order for 2009, maybe just freshen up some graphics later in the year with new brand messaging.

But on a Thursday, we got a call that he was looking forward to a show opening on Friday.   What?  This was the first we had heard of it.  He said, even though we made many requests for him to share his show schedule, it had slipped his mind to let us know that  he had an event starting the next day. In fact, his sales team was already on site, in an empty booth space wondering where their exhibit was.

We called the General Manager in the Show Producer’s office in Las Vegas to see if we could still ship in an exhibit.  She told us that the show was all ready to open up on Friday at  9:00 AM , and she was hesitant to let our shipping company bring a forklift in with the booth, as the aisle carpet was already down on the floor.  But because our cases have wheels, and because we are a valued event and show partner, an exception was made.  The exception was made with a warning that no damage was to be made to the show floor.

We managed to ship everything out, have a labor crew on site at 3:00 AM, and got this crisis under control. The show went without a hitch.  But not without our client having to pay double- time  labor costs for last minute I&D staff, and exorbitant shipping charges.   It was an expensive and nerve wracking lesson, but we made it happen.

This crisis could have been avoided by planning in advance.  Don’t be that guy.
