Don’t Be That Guy. Plan it right for 2013.

Don't Be That Guy. Effective Trade Show Planning.Yes, the following story really did happen.  Names will be withheld to protect the innocent.

Don’t be ‘that guy.’

He had a trade show exhibit produced by us the year before.  He had a great trade show run for the year, and he was going to keep the same booth in order for 2009, maybe just freshen up some graphics later in the year with new brand messaging.

But on a Thursday, we got a call that he was looking forward to a show opening on Friday.   What?  This was the first we had heard of it.  He said, even though we made many requests for him to share his show schedule, it had slipped his mind to let us know that  he had an event starting the next day. In fact, his sales team was already on site, in an empty booth space wondering where their exhibit was.

We called the General Manager in the Show Producer’s office in Las Vegas to see if we could still ship in an exhibit.  She told us that the show was all ready to open up on Friday at  9:00 AM , and she was hesitant to let our shipping company bring a forklift in with the booth, as the aisle carpet was already down on the floor.  But because our cases have wheels, and because we are a valued event and show partner, an exception was made.  The exception was made with a warning that no damage was to be made to the show floor.

We managed to ship everything out, have a labor crew on site at 3:00 AM, and got this crisis under control. The show went without a hitch.  But not without our client having to pay double- time  labor costs for last minute I&D staff, and exorbitant shipping charges.   It was an expensive and nerve wracking lesson, but we made it happen.

This crisis could have been avoided by planning in advance.  Don’t be that guy.

So you want to start out in 2013 with your trade show calendar in gear.  You’ve done this before, and maybe you even have a similar set of trade shows you’ve exhibited at that have worked really well for you.  This year’s calendar is looking the same as last, but maybe you added a few more shows.  You’ve got this down, been there before, no problem, right?

In 2013, start off the new year right.  Leverage our years of experience in trade show project management, and save yourself the headache, invest your dollars rather than expense your dollars.  Your booth graphics, your trade show presence, it’s all about you.  Spending extra trade show budget dollars on drayage and booth logistics can be easily avoided with good planning.

We will help you do better event planning for 2013 by understanding your unique trade show schedule.

Call us for a FREE consultation and let us help build your Personalized 2013 Show Planning Calendar.

There is no cost for the free service.  We just want to help you manage your trade show calendar and get the best deals by booking in advance.  We start the process way before you.  We remind you rather than waiting for you to call us.

Here’s a few tips where we can help you leverage your budget:

1)  Possibly piggybacking and combining your shipment with another client’s shipment going to the same location, or same local area.  If two of our clients’ shows are in the same place, we can plan in advance and ship together.  Often we can send a supervisor from our NJ office that can be “shared” on site.

2) Storing your booth for another event in the venue region, rather than shipping it across country and back again.  We store booths with our partners nationwide, even worldwide…  we currently have displays stored in Monte Carlo, Dubai, Athens, and Rio de Janeiro.

3) By processing show order forms earlier, we are able to enjoy early bird discounts and pass the savings on to you!

Savings on your booth logistics will help you save money in the longrun, and you can effectively reallocate your trade show budget to dollars more meaningfully spent.

There is a myriad of benefits for planning early: less stress, better internal communication with other departments, more cohesive programming, better marcom, better trade show presence, better leads, and most importantly, increased sales.

So don’t wait until your show is almost here in 2013.  Give us a call at (973) 686-9393 and just let us know what your trade show calendar looks like for 2013.  We hope it’s a great year for trade show for you.  Let us help you be successful!
